How do I log in to the application?
Use your professional email and password.
Do I need to verify my email before using the app?
Yes. You must click the verification link sent by email.
Does my account activate immediately after clicking the link?
No. After verification, there may be a short delay while the account is approved and activated.
Why is there a delay after verification?
Accounts must be validated by the administrative team.
How will I know when my account is active?
You’ll be able to log into the application.
What should I do if I don’t receive a verification email?
Check your spam folder. If not found, contact support at admin@mediagent.es.
Can I log in before my account is activated?
No, you must wait for activation.
How long does activation usually take?
Typically a few minutes, but it may take longer during high demand.
What should I do if activation is delayed for hours?
Contact admin@mediagent.es for assistance.
What happens if I forget my password?
Click “Forgot Password?” to reset it by secure email link.
Can I change my password later?
Yes, via your Profile menu.
Can I change my email address?
Yes, update it under Profile. A new verification will be required.
Can I use the same account on phone and web?
Yes, you log in with the same credentials.
Can two doctors share one account?
No, each doctor must use a personal account.
Can I use the same account on multiple devices?
Yes, the same credentials work across devices.
What if I log in on two devices at the same time?
Both sessions remain valid, but activity is logged separately.
How long does a login session last?
12 hours before requiring re-login.
Can administrators deactivate my account?
Yes, for compliance or pilot rules.
Can I delete my account?
Yes, by contacting admin@mediagent.es.
Can my account be suspended temporarily?
Yes, admins may suspend access during pilot issues.

Is patient data stored?
No. Audio is not stored, only temporary summaries.
Is the app GDPR compliant?
Yes. It follows GDPR principles: consent, minimal data, right to erasure.
Do I need patient consent?
Yes, verbal consent is required, and you must confirm it in-app.
What happens if I don’t check the consent box?
The record button stays disabled.
Are sessions logged for compliance?
Yes, only metadata (doctor, timestamp).
Can patients request their data?
Not needed, as no sensitive data is stored.
How long is the summary stored?
Only until a new transcription is started, or 24h maximum in case of EHR outages.
Are conversations encrypted?
Yes, audio (if uploaded) and summaries are encrypted in transit and at rest.
Is offline transcription safer?
Yes, audio never leaves the device.
Can admins see my summaries?
No, they only manage accounts and settings.
What if my phone is stolen?
No patient data remains, so risk is minimal.
Is HIPAA supported?
Mediagent is GDPR-first; HIPAA is planned for the future.
Does the app store raw audio files?
No.
Can I erase all logs of my sessions?
Yes, logs are minimal and can be erased.
Are transcripts cached locally?
